Track The Gym ("we", "our", "us") is committed to protecting your privacy. This policy explains how we collect, use, disclose and safeguard your information when you use the Platform — including the dashboard, member portal and mobile apps.

Personal information

Name, email, phone number, date of birth (where provided), profile photo, payment details and emergency contact information.

Gym data

Membership records, attendance logs, payment history, class schedules, plans and any business data entered into the Platform.

Usage data

Device information, IP address, browser type, pages visited and actions taken within the Platform — used to improve performance and security.

• To record payment entries and generate receipts for gym members

We do not sell your data. We may share information with:

• Service providers — payment processors, cloud hosting and analytics providers, all bound by data protection agreements

• Within your gym — staff, owners and admins access data scoped to their gym only

We implement industry-standard security measures including encrypted connections, role-based access controls and regular backups. No system is 100% secure, but we work hard to make your data hard to get to and easy for you to control.

Track The Gym is a multi-tenant platform. All gym data is strictly scoped by gym ID, enforced at the database level via security rules. Cross-gym access is not possible except for explicit platform administrators.

We use essential cookies for authentication and session management, and limited analytics cookies to understand product usage. You can control cookie preferences through your browser settings.

We retain your data while your account is active. Upon account deletion, we remove your data within 30 days, except where retention is required by law (e.g. financial records).

The Platform is not directed at children under 13. We do not knowingly collect data from children. If you believe a child has provided us with personal data, please contact us and we will delete it.

Your data may be processed and stored in countries other than your own. We use providers with appropriate safeguards for international transfers.

We may update this policy from time to time. Material changes will be announced via email or through the Platform. Your continued use after changes constitutes acceptance.
